Connect Your Personal Calendar

Your clinic schedule knows when you're meant to be working. It has no idea about the dentist on Thursday, the school run, or the two hours you blocked out to drive somewhere. Those live in your own calendar, and until Ready Practice can see them, a client can book a time you were never going to be free.

Connecting your personal calendar closes that gap. Ready Practice reads the busy times from it — nothing else — and removes them from the slots you're offered for. Your working hours stay exactly as they are; the busy periods are simply carved out of them, the same way a time-off block is.

note

Ready Practice reads only when you are busy, never what you are doing. Event titles, guests, locations and descriptions are never requested, never sent and never stored. What's saved is a list of start and end times, and nothing more.

Connect your calendar

Open Staff and select yourself. In the left column, below the tabs, you'll find the connected-calendar card. Choose Connect, and Google will ask you to sign in and approve read-only access to your calendar.

When you come back, the card shows the Google account you connected and how many busy periods it found. From that moment, any slot that collides with one of those periods stops being offered — in the staff booking screen, in the client app, and on every public booking link.

Only you can connect or disconnect your own calendar. An administrator can see whether your calendar is connected, because that affects clinic scheduling, but cannot connect one on your behalf and cannot see anything inside it.

Keep it current

Ready Practice re-reads your calendar automatically through the day, so an event you add this morning is respected without you doing anything. If you've just added something and want it reflected immediately — you're about to book a client into that exact window — use Sync now on the same card and the busy list refreshes at once.

tip

Connect the calendar you actually live in. If your personal commitments are spread across two accounts, the one you don't connect stays invisible to Ready Practice, and that's where a double-booking will eventually come from.

What happens if the connection breaks

If Ready Practice can't reach your calendar — you changed your Google password, revoked access, or the account was suspended — it stops trusting the busy list rather than acting on stale information. Your slots go back to following your working hours alone.

This is deliberate. The alternative is worse: a sync that silently failed weeks ago would keep blocking times you're actually free, and you'd slowly become unbookable for reasons nobody could see. If your personal events stop being respected, reconnect the calendar from the same card.

warning

Connecting your calendar hides busy times from future booking. It doesn't touch appointments already on your schedule. If you add a personal event over a slot a client has already booked, that appointment stays where it is — move or cancel it deliberately.

Disconnect

Choose Disconnect on the card. Ready Practice immediately deletes the stored busy times and the access it was granted, and your open slots go back to following only your working hours. Nothing is retained.

Next steps

To block a known absence rather than a personal event — a vacation week or a clinic-wide holiday — use Time Off & Unavailability, which is visible to your colleagues and survives independently of any calendar connection.

To change the hours you're bookable at all, edit your schedule in Availability & Scheduling.
