Booking Links
A booking link is a public web page — sometimes called a booking page — that lets clients schedule an appointment with you on their own, without an account and without calling the front desk. You create the link once, choose exactly which services and providers it offers, decide whether it takes payment, and then share the link anywhere: your website, an email signature, an Instagram bio, or a text to a new lead. Every appointment booked through it lands on your calendar and (optionally) creates a lead in your CRM automatically.
This page shows you how to create and edit a booking link, how to control what it exposes and whether it charges, and how to put it on your own web address (a white-label custom domain) so the page reads as book.yourclinic.com instead of the shared platform address.
What a booking link is and why you'd use one
A booking link is the self-service front door to your calendar. Instead of a back-and-forth to find a time, you hand a prospective or existing client a URL; they pick a service, choose an open slot, enter their details, and confirm — all in the browser. Because it's a real web page, you can also embed it inside your existing website so clients book without leaving your site.
Each link is fully scoped, so you can run more than one for different purposes — for example a "New Client Consultation" link that offers only your intake service, and a separate "Returning Clients" link that exposes your full menu.
A booking page automatically inherits your clinic's colors and logo from your branding settings, so it looks like your page the moment you create it — there's nothing extra to style here. To change how it looks, set your colors and logo once in Branding & White-Label; the change flows through to every booking link.
Create or edit a booking link
You manage booking links in the Provider web portal under Growth → Booking. The tab lists every link you've created, each with its shareable URL, an active/inactive status, a copy button, and an "Embed on your website" option.
-
Open Growth → Booking and click Create Booking Page (or the Settings gear on an existing link to edit it). A panel opens where you configure everything about the link.
-
Enter a Page Title — the heading clients see, such as "Book a Consultation" — and a URL Slug, which is the short, human-readable end of the address (for example
your-clinic-namegives youbook.basishealth.io/your-clinic-name). The slug is fixed once the page is created, so pick something you're happy to keep. Optionally add a short Description that appears on the page to set expectations. -
Under Available Services, tick the services this link is allowed to offer. Selecting nothing means the link offers all of your services — so tick specific ones only when you want to narrow the link to, say, just an intake visit. If you run more than one location, an Available Locations section appears the same way; leave it empty to allow all locations.
-
Set your Booking Rules — the Minimum notice (hours) guards against last-minute bookings (a client can't grab a slot sooner than this), and Max days ahead limits how far into the future the calendar opens. Use these to keep the bookable window sensible.
-
Turn on Create lead on booking if you want anyone who books to be added to your CRM as a prospect automatically, and Send calendar link to client to email the client their appointment details with an "Add to Calendar" button. You can also set Account creation to decide whether clients book as a guest, are offered an account, or are required to create one.
-
Click Create Page (or Save Changes). The link becomes active immediately, and its URL appears in the list with a copy button so you can share it.
If a link should route to only certain clinicians — for example a link that books just one provider's intro calls — restrict it to those providers rather than exposing your whole team. A link with no provider restriction lets clients book with any eligible clinician for the chosen service. (Provider scoping is set on the link's configuration alongside services.)
Set the payment policy for a link
Each booking link decides on its own whether it takes payment at the time of booking, so you can charge on some links and not others.
-
In the link's settings, turn on Collect payment at booking. This adds a payment step to the booking flow before the appointment is confirmed.
-
Choose How the card is used:
- Hold card for cancellations — the client's card is saved on file but not charged now. Use this to protect against no-shows and late cancellations while keeping booking friction low.
- Charge the service price up front — the client pays the service's price at booking, so the visit is prepaid.
- Use organization default — leave the per-link choice unset and the link follows your clinic-wide public-booking payment policy (set under Settings → Billing). This is the safe default when you want one consistent rule everywhere.
"Charge the service price up front" can only collect money if the selected service actually has a price set. If a service has no price, the booking still goes through and the card is saved on file instead of charged — no one is blocked from booking, but nothing is collected. Set prices on your services if you intend to prepay-charge through a link.
Put the link on your own domain (white-label)
By default your link lives at book.basishealth.io/your-slug. With a custom domain, the same page is served from an address you own — for example book.yourclinic.com — so clients never see the platform's address. A custom domain is purely cosmetic to the client: the booking flow, services, and payment policy are identical.
Setting one up takes two steps — one in your Ready Practice settings, one in your domain provider's DNS.
-
Decide on the subdomain you want to use, such as
book.yourclinic.com. (A subdomain likebook.is recommended so your main website keeps working normally.) -
In your domain registrar or DNS provider, add a CNAME record — a DNS entry that points one hostname at another — for that subdomain, pointing it at the Ready Practice booking host. (Your onboarding contact or Atlas can give you the exact target host to point at.)
-
Back in the link's settings, enter the bare hostname in the Custom domain field — just
book.yourclinic.com, with nohttps://and no trailing path. Save the link. From then on, requests to that domain resolve to this booking page.
After you add a CNAME, it can take anywhere from a few minutes to several hours (occasionally up to 24–48 hours) for the change to propagate — that is, for DNS servers around the world to pick it up. If your custom domain doesn't load right away, that's normal; give it time before assuming something's wrong. Your book.basishealth.io link keeps working the whole time, so you can share that in the meantime.
Have Atlas do it for you
You don't have to open the portal to spin up a link. Tell Atlas what you want and it will create or update the booking link for you to review.
"Create a booking link called New Client Consult that offers only my Intake Visit service, collects payment by charging the service price up front, and lives at book.myclinic.com."
Atlas will draft the link with those settings and show you the result before it goes live.
So Atlas can create or update a booking link, have any of these ready:
- A name / slug for the link (e.g. "New Client Consult" →
new-client-consult). - Which services and/or providers to include — name them, or say "all services" to leave it open.
- Whether to collect payment, and if so whether to hold the card or charge up front (or follow your org default).
- Optionally, a custom domain to serve it on (you'll still add the CNAME at your DNS provider — Atlas can tell you the exact host to point at).
Next steps
- Make the page look like your clinic → set your colors and logo once in Branding & White-Label; they apply to every booking link automatically.
- Embed the link in your website → use the "Embed on your website" option on any link in Growth → Booking to drop an inline booking form or a popup button onto your existing site.
- Set your clinic-wide payment rule → if you want one consistent hold-vs-charge policy across all links, configure it under Settings → Billing and leave each link on "Use organization default".
