Branded Email

Booking confirmations, reminders and calendar invites are the emails your clients see most. By default they come from a Ready Practice address. Branded email sends them from your own domain, with your organization's name as the sender, so a client sees "Northside Physio" in their inbox rather than a platform they have never heard of. Recognised senders get opened; unfamiliar ones get ignored or filtered.

Setting it up means proving to email providers that Ready Practice is allowed to send on your domain's behalf. That is done with a few DNS records at your domain registrar, added once.

Before you start

  • You need the Admin role in Ready Practice.
  • You need access to your domain's DNS settings, at the registrar or DNS host where your website's domain is managed. If someone else manages it, you will be sending them three records to add.
  • Decide the sender: a from name (what people see, such as "Northside Physio") and a from address on your domain (such as hello@northsidephysio.com). Replies go to this address, so make it one someone reads.

Set up the sender

  1. Go to Settings → Integrations and open the Branded Emails card. Click Configure to open Branded Email Configuration.
  2. Enter the From name and From email on your domain, and save.
  3. Click Get DNS records. Ready Practice generates three records for your domain: SPF (which servers may send for you), DKIM (a signature that proves the mail is genuine) and a bounce record (where undeliverable mail reports go).
  4. Add all three records at your DNS host exactly as shown, then come back and click Check status. DNS changes can take from a few minutes to a day to spread, so check again later if it does not verify at once.
  5. When the status shows Verified, turn on Use branded sender. From that moment, confirmations, reminders and calendar invites go out from your address.
Turning it on before it verifies sends nothing better

The toggle only takes effect once the domain is verified. Until then, mail keeps going from the Ready Practice sender, which is the safe default. Do not remove the DNS records after verification; they are what keeps your mail out of spam.

Verify it's working

Book a test appointment for a test client whose email you can read. The confirmation arrives from your from name and address, and the calendar invite carries the same sender. If it lands in spam, the DNS records are usually the reason: check each one matches what Get DNS records shows.

What still comes from Ready Practice

Newsletters and growth sequences use their own sending setup in the Growth suite. Staff notifications and account emails come from the platform. Branded email covers the client-facing appointment mail, which is where the sender name matters most.

Next steps

  • Set your reminder timing: the messaging settings decide when confirmations and reminders go out.
  • Add texting: SMS reaches the clients who do not read email.
